General information
There are three main ways to be involved with the scientific program of “Time for Tropical Ecology” in Amsterdam: (i) oral presentation, (ii) poster presentation, and (iii) convening a session. To ensure that your participation runs as smoothly as possible please read the relevant instructions carefully. If you have any questions, or anything is unclear, please do not hesitate to get in contact.
Speakers
Duration of presentation. Oral presentations have 15-minute time slots, with 12 minutes dedicated to the presentation and 3 minutes for discussion. Do not exceed your time. To facilitate room transitions between presentations and sessions, session chairs are requested to maintain strict time management.
Digital formats. You may use presentations in PowerPoint or PDF format. Please check that your presentation displays graphics properly on a Windows machine before arriving to the conference.
Presentation file. You can bring your own laptop for presenting your presentation or you can put your presentation on a USB memory stick.
Giving your presentation. Arrive to session room 10 minutes in advance. Please ensure you arrive at your session room at least 10 minutes before its scheduled start. This will provide sufficient time for you to meet and coordinate with your session convener and familiarize yourself with the equipment in your session room.
Posters
Size of your poster. Each poster presentation will be allocated one display board. It should be in A0 portrait format (120 cm high and 85 cm wide).
Setting up and dismantling. You can put up your poster from 8:30 in the morning of the day that you present. Posters should remain on display throughout the day, and should be taken down before 17:30 each day. Posters not taken down before this time will be removed and thrown away so that we can prepare for the next days posters.
Locating your poster board. Posters will be allocated to one of the thematic sessions and will have an individual number. The poster boards will be labelled with your number. You can find your number in the conference programme.
Mounting your poster on the poster board. We will supply double sticking tape to attach the posters to the boards.
Attending your poster. Authors are expected to attend their poster for the duration of their allocated session (all sessions are 1 hours in length in the morning). Tea and coffee will be available during the poster sessions. Posters will also be on display throughout the rest of the day.
Session Chairs
Session chairs will be responsible for timekeeping. In each room there will be timecards to help keep speakers to time. You have timecards with dfferent minutes.
The 2 minute card should be shown 10 mins after the start of the time slot. The presenter only have 2 minutes left to present. There are then 3 minutes for questions and change over. It is important to keep to start talks at the correct time to be fair to all speakers and to enable people to change between sessions. Session chairs will also establish the order of presentations within their session. Session conveners are responsible for keeping everything running on time. At least one session chair needs to be present.
