Registration Fee

The conference registration is offered as an all-inclusive package fee, which covers a range of essential services to ensure a smooth and enjoyable experience for all attendees. These include🙂:

  • Conference registration fee, coffee and lunch breaks, poster sessions.

  • Dinner on Monday-Wednesday at local restaurants (excl. drinks).

  • Accommodation including breakfast for Sunday-Thursday (4 nights, 16-20 March).

  • Group activity (half a day).

  • Party on the last evening.

  • Transportation between the hotel, NIOZ and the restaurants, and during the group activity (Monday-Thursday).

  • Optional (€40 extra): Dinner on Sunday evening (incl. transportation).

Comments

  • First 60 registrants will be accommodated at Hotel de Lindeboom. Once this hotel is full, registrants will be accommodated at Hotel Texel – De Koog (Van Der Valk).

  • Payment can be made by bank transfer, credit card and PayPal.

  • There is no reduction in price for those staying for a shorter period of time.

  • If you require additional nights before or after the event, please arrange booking of your own hotel room.

  • The conference is limited to 120 participants. Registration will close on February 16, 2025, or once we reach capacity, so we encourage early registration to secure your spot.

Cancellation policy

We understand that circumstances may change, and you may need to cancel your registration. Below is our cancellation policy:

  • Cancellations until 1 December 2024, are free, subject to a €100 handling fee.

  • Cancellations made up to 1 month in advance (on or before February 16, 2025) will be eligible for a 50% refund of the registration fee.

  • Cancellations made after February 16, 2025, will not be eligible for a refund, as we have financial commitments and payment obligations to various service providers and vendors that are required to be fulfilled regardless of attendance.

  • All cancellation requests must be submitted in writing to guy.schleyer@nioz.nl. Refunds will be processed within 30 days after the request is received.

Financial support

We aim to support early-career scientists (MSc/PhD students and postdocs) with travel grants to assist their attendance at the conference. While we hope to offer this support, it depends on available funding, which we are actively seeking but cannot guarantee at this time.

  • If interested, please indicate it during the registration process. Travel grants will be provided as reimbursements after the conference.

  • In special cases, we may consider providing funds in advance. To request this, please contact us directly and include a support letter from your Principal Investigator (PI).

Abstract Submission

The conference will feature approximately 20 selected talks and 2 poster sessions. All participants are encouraged to submit an abstract. Participants who are not chosen for talks are expected to present a poster.

The deadline for abstract submission to be considered for a talk is 8th December 2024 (one-week extension).

Applicants will be notified of abstract outcome by 1st February 2025.

Guidelines for abstracts

  • The conference is centered around three main themes:

    1. Microbial interactions at the cellular level.

    2. Microbial interactions at the population and community level.

    3. Microbial interactions at the ecosystem level

    Upon submission, you will be asked to select at least one that best aligns with your abstract.

  • Please use the following template for submitting your abstract.

  • All abstracts must be submitted and presented in English. The abstract is limited to 200 words (excluding title, authors, and affiliations).

  • Figures, graphs, images, diagrams, and references cannot be included.

  • The authors are responsible for the content and the language quality of the abstract.

  • If changes need to be made to your submitted abstract, please contact us at any time before the deadline.

  • Authors will be notified of the acceptance via email.

  • To submit an Abstract, authors must be registered for the event.

Poster information

  • Posters must be designed to fit an A0 board (84.1 cm x 118.9 cm / 33.1 in x 46.8 in).

  • Orientation: Portrait only.

  • Mounting supplies (tacks or adhesive) will be provided at the venue.

  • Please ensure your poster is in place in the morning of your session.
