Code of conduct

All attendees, speakers, sponsors, and volunteers at our conference are required to agree with our code of conduct to ensure that this conference is enjoyable and productive for all participants. This code of conduct pertains to all interactions happening within the scope of this conference (i.e. including social and non-social events).

Handling of data

The privacy statement of WUR applies to this use of your personal data. This privacy statement can be found here: www.wur.nl/en/privacy. In addition, below is more information about how your personal data will be handled via the software used to process your submission and registration for this conference.

The software used to process your submissions and registration is aanmelder.nl. The Processor’s infrastructure is hosted on the Amazon Web Services cloud environment in the EU. The Personal Data that are the subject of this Agreement are stored such that they are not accessible to Subprocessors. Amazon Web Services is committed to the Model Clauses drawn up by the EU regarding the protection of the personal data of citizens in the European Union.

Aanmelder.nl holds an ISO 27001:2013 certificate issued by DNV.GL.  aanmelder.nl takes the following security measures in order to ensure an appropriate level of security:

• Pseudonymisation and encryption of Personal Data: participant data are stored in an AES-encrypted environment segregated at the customer organizational level. Aggregated data and statistics are pseudonymized.
• Physical security: the processing environment of aanmelder.nl is secured with the help of electronic and physical keys, camera surveillance and an alarm system with a control room.
• Awareness-raising, training, and security assessments for employees: at the start of their appointment, every employee receives training on data security and on how to handle Personal Data. This training is periodically repeated and supplemented. The employee’s handling of Personal Data is assessed during every performance evaluation. A Certificate of Good Conduct is available for every employee.
• Incident/Response management/business continuity: an Incident Response Team has been set up with documented protocols for incident triage and management.
• Audit controls/Due Diligence: in the context of the ISMS certification, aanmelder.nl is periodically audited by DNV.GL.

 

Privacy policy

Scope and processing of personal data

Personal data will be processed from the time of submission of your contribution until publication, if applicable, for any distribution of conference documentation within the framework of the organization and implementation of the event in accordance with statutory provisions. The personal data that is transmitted to us and stored is the information provided in the entry masks and the information provided during registration. The data will not be passed on to third parties.

Duration of storage

The data is deleted as soon as it is no longer required to achieve the purpose for which it was collected. In this case, this includes all processes relating to the handling of the event and conference publications (e.g. program booklet and conference report).
