Conference Program, Contributions & Personal Account 

 

• Q: Can I modify or withdraw my contribution(s)?

A: No, you can not modify or withdraw your contribution. The period for modifications ended the 11 April 2023.

• Q: Can I switch my presentation from in-person to online?

A: Yes, you can switch your presentation from in-person to online until the 4 April 2023. However, if you register before 4 of April 2023, please note that switching from in-person to online will incur additional costs. You will not receive a refund of the fee difference after 7 May 2023. 

• Q: How can I access my author account? 

A: To access your author account, simply click on this link: https://www.scp-conference-2023.com/web/author.

• Q:How can I check the review of my contribution? 

A: To check the comments made by our Scientific Committee regarding your contribution, you can log into your author account and view the feedback there. To access your author account, please click on this link: https://www.scp-conference-2023.com/web/author.

• Could you send me a preliminary version of the program?

A: No, sorry, the preliminary version of the program will be released on the 30th of March.

• Q: Do you have any particular guidelines for the poster? 

A: We don't have any particular guideline for poster's presentations but here you are a couple of ideas for it: 

GUIDELINES
- Size A0
- Important information should be readable from about 3 meters away
- Short title that draws interest
- Word count of about 300 to 800 words: Text is to the point
- Use of bullets, numbering, and headlines make it easy to read
- Consistent and clean layout: Effective use of graphics, colour and fonts
- Includes acknowledgments, your name and institutional affiliation

 

Special Issue Track

 

• Q: If my abstract has been accepted for presentation at the conference, does this mean that my paper will also be published in the special issue?

A: No, acceptance of your abstract for presentation at the SCP23 Conference does not guarantee that your paper will be included in the special issue. The criteria for publication in the special issue depend on the specific journal. Our team is currently working on the publication process for the special issue, and we will keep you updated via email. Please check your inbox regularly for updates.

 

• Q: What are the formatting guidelines (e.g., citation style, word count) for the Special Issue?

A: There are not any specific guidelines for the full paper. 

• Q: Is there an official conference paper template for the full paper submission?

A: No.

• Q: Where can I upload the full paper?

A: We have set up the Open Science Foundation repository at https://osf.io/meetings/SCP23 .  You can upload your presentation or full paper.

 

Registration, Fees, & Travel

 

• Q: How can I change my participation from in-person to online?

A: You can go back to your registration form and select a different fee and pay the difference. However, for changes between in-person to online, please note that once you have registered and paid the fees, you can switch to online, but you will not receive a refund of the fee difference after 7 May 2023. Additionally, please be aware that switching from in-person to online may incur additional costs that will be your responsibility to cover.

Note that all refunds will be processed after the SCP23 Conference.

 

• Q: What are the cancellation terms?

A: Please note that registration cancellation must be notified through the conference website by changing your registration form. Besides, to be sure we have received your cancellation, send us an email to contact @ scp-conference-2023.com.

1. For cancellations received up to, and including 7 May 2023, a cancellation fee of 60e (VAT included) will be charged.
2. For cancellations received after 7 May 2023, no refund will be given.
3. Payment methods: We accept payments by credit card, bank transfer and iDEAL (Dutch participants). Any additional fees (e.g. bank charges) are at your own expense.
4. For those who have registered for the online conference and would like to change their participation from life to online, can do so up to and including 7 May 2023 and receive a refund for the difference in the registration fee. Unfortunately, no refund can be granted to those who change their registration this way after 7 May 2023.
5.  If the live conference is cancelled by the organisation in case of force majeure, the participant will be offered an online registration and will receive a reimbursement of the difference between the online and onsite registration fee. NOTE: No travel and accommodation will be reimbursed.
6. Name changes are not accepted unless the participant is from the same organisation. A handling fee of EUR 40 per registration will be charged for every modification received after 7 May 2023.
7.  We regret to inform you that if your VISA application does not get approved, that you are not eligible to get a refund of your registration. We are happy to transfer your registration from Live to Online.
8.  All refunds will be processed after the SCP23 Conference.

•  Q: Can I apply for a grant or fee waiver?

A: Unfortunately, we are unable to offer scholarships or fee waivers for this edition of the SCP23 Conference due to a lack of funds. However, please check if you are eligible for the reduced rate.

• Q: What are the criteria to qualify for the reduced fee?

A: The criteria for the reduced fee is as follows: 
-> full-time students and PhD students enrolled in a college or university with an income or stipend that doesn’t exceed 1757e gross e per month
-> trainees and interns with an income or stipend that doesn’t exceed 1757e gross e per month
->Individuals that come from, reside and work in an LMIC country as considered by the World Bank classification.

*Note that part-time students, post-doctoral and PhD candidates with  an income or stipend that exceeds 1757e gross e per month, and others that cannot meet the above requirements are NOT eligible for the discounted student rate.

• Q: If I do more than one presentation during the conference, do I need to pay the registration fee for each time I present?

A: No, the registration fee allows you to present all the accepted contributions.
