The following terms and conditions outline the key aspects of your subscription and usage of our services. These include details regarding subscription renewals, credit usage, cancellation policies, and any additional fees. Please review these terms carefully to ensure a clear understanding of your agreement with aanmelder.nl.​

These terms are in addition to our General Terms and Conditions. By agreeing, you also agree to our General Terms and Conditions. We recommend reading those as well.

Subscription Renewal

  • All licenses and credit subscriptions will automatically renew at the end of each subscription term (monthly or yearly) unless canceled by the customer per the cancellation policy below.
  • Credit subscriptions will renew at the same tier level as the previous term unless changed before the renewal period.

​Credit Usage and Expiration

  • Credits purchased under the subscription model are valid indefinitely and can be used across different services, including registrations, check-ins, and other add-ons.
  • Customers are responsible for managing their credit balance. If credits run out, the system will continue to function, and customers will be automatically upgraded to the next appropriate credit tier.
  • If a negative credit balance occurs, customers will be notified and scaled to the nearest tier to restore a positive balance. This new tier will be used for the subsequent renewal unless opted out by the customer.

Tiers

  • We use a tiered structure for credit usage. This means that purchasing or scaling up credits happens in fixed increments, depending on the tier you fall into

For tiers from 0 - 500 credits: per 50 credits.

For tiers from 500 - 1000 credits: per 100 credits.

For tiers from 1000 - 2500 credits: per 250 credits

For tiers from 2500 - 5000 credits: per 500 credits.

For tiers from 5000 - 10000 credits: per 1000 credits.

For tiers from 10000-50000 credits: per 2000 credits.

For tiers from 50000+ credits: per 5000 credits.

  • We may adjust these tiers, for example to better reflect how our services are being used.

Scaling and Modifications

  • Customers can scale their credit subscription at any point during the year at the price applicable to the original subscription tier.
  • If customers increase their credit subscription by more than double (for example, going from 500 to 1200 credits), the extra credits will be charged at the rate of the tier closest to the increased amount. In this example, the customer would pay the price per credit for 700 credits instead of 500 credits.
  • Downgrading in credits or from an annual to a monthly license is effective at the start of the next subscription term and must be requested at least 30 days prior to renewal.

Cancellation Policy

  • For monthly licenses, cancellation can occur at any time, with the service terminating at the end of the current month.
  • For yearly licenses, cancellations must be requested at least 30 days prior to renewal to avoid auto-renewal.
  • Upon cancellation, all credits and account access will be terminated at the end of the current term, and any remaining credits will be forfeited without reimbursement.

Invoicing and Payment Terms

  • License fees are invoiced in advance, either monthly or annually, based on the selected license.
  • Credit plans are invoiced in advance, yearly, based on the selected tier.
  • Any additional costs or services, such as for scaling your subscription, event check-ins, or single-use services, will be invoiced separately as they occur.

Support

  • Support is available at no additional cost. Customers can access support through multiple channels, including email, phone, and chat, during our standard support hours (Monday to Friday, 9:00 - 17:00 excluding public holidays).

Data Retention and Export

  • Upon cancellation or termination of a license, access to all data, events, and stored credits will be lost. Data export options are available before the termination of the account.
  • After account termination, data will be retained for a limited period for potential reactivation, after which it will be permanently deleted.
