What is aanmelder.nl’s privacy policy?

aanmelder.nl has had a privacy policy for 10 years that does not lead to surprises: We do nothing with your data, or that of your participants, that you would not do yourself. In fact, we do nothing with your data unless you instruct us to. You can read much more about this in the privacy statement.

How does aanmelder.nl comply with the GDPR?

aanmelder.nl has worked in accordance with the Dutch Privacy Law for 10 years and now that this is being replaced by the GDPR, we naturally comply.

aanmelder.nl meets all obligations arising from the GDPR. In addition to the rules regarding data handling, the GDPR also sets specific operational requirements:

  • aanmelder.nl has a Privacy Impact Assessment conducted.

  • A Data Protection Officer has been appointed.

  • All processes have been audited on ‘privacy by design.’

  • Procedures are in place to meet the obligation to help individuals view, modify and delete their personal data.

  • aanmelder.nl does not perform ‘profiling’ or decision structures based on personal data.

  • Data storage takes place in Europe.

The GDPR is a law that applies throughout the European Union. This law ensures that privacy protection is now well arranged across Europe. In addition, the European Union has drawn up so-called ‘Model Clauses’ for companies with data centers that process and store data of Europeans.  These ‘Model Clauses’ provide the framework within which data can be processed safely and lawfully. The data centers used by aanmelder.nl are located in the European Union and comply with these Model Clauses. With aanmelder.nl you comply with the obligation to process data within the EU’s privacy regulations.

How does aanmelder.nl handle data processing agreements?

The GDPR requires a data processing agreement between aanmelder.nl and you. In this agreement the role we take in processing personal data is defined. It also sets out what we can expect from each other. That is why aanmelder.nl offers every customer the opportunity to conclude a data processing agreement. For this we have set up a very easy self-service process in your account page.

What should you pay attention to when choosing event registration software?

Some registration systems write about security that HTTPS connections and ISO27001 data centers are used. These security measures are the easiest to implement and have been designated by aanmelder.nl as the last level of security.

Keep in mind that an ISO27001 data center says nothing about the security of the systems that are set up there. It also says nothing about the security of the software or about the security in the supplier’s business operations. HTTPS also gives no guarantees about the shielding of the supplier’s networks or the security of data storage. For data security, HTTPS and a secure data center are not sufficient.

At aanmelder.nl, security is a system that runs through all layers of the service and is an integral part of the product. aanmelder.nl distinguishes itself in the field of data security.

Where is participant data stored?

Participant data is stored in AWS data centers located in Frankfurt. This ensures that all data remains within the European Union and complies with European privacy and data protection regulations.

How do you ensure data minimisation and data integrity?

Data minimisation and data integrity are supported in several ways:

Data minimisation

  • You decide which data is collected.

  • Fields in the registration form can be set as required or optional.

  • This ensures that only data necessary for the event is collected.

Data integrity
Through integrations with systems such as a CRM, user permissions can be synchronised. When a user is deactivated in an external system, this can also be applied within the event software. IT managers can enforce input rules to ensure data consistency.

Are SSO integrations supported?

Yes. SSO integrations are supported. Depending on the required integration, custom development may be needed, in some cases involving a developer.
For certain sectors, existing SSO integrations are available, allowing for faster implementation. Contact us for more information. 

Can we set roles and permissions for users?

Yes. You can configure roles and permissions per user. This allows you to define, for example:

  • who has access to participant data

  • which parts of the software are visible or editable

In addition, the platform supports working with parent organisations and sub-organisations, for example per department. This ensures that users only have access to data that is relevant to them.

Do you provide audit or security reports?

Yes. Audit and security reports are available upon request and can be requested via the Customer Connect team.

Is an open API available?

Yes, we offer a documented REST API. This allows developers to safely and quickly build custom integrations to exchange event data with other systems. The full technical documentation, including the data points you can include, can be found at apidoc.aanmelder.nl.

Is it possible to create sub-organizations within a single account?

Certainly. This feature is available for enterprise clients or as a separate purchase. You can set up a structure with a parent organization and various sub-organizations, allowing you to combine central management with decentralized execution per department or region.
